This will be a standard letter.

Almost certainly the train company will be prepared to settle with you without going to court if you engage with this.

Look for posts by @Hadders suggesting the main points to make, and feel free to post a draft here for advice. You might find it useful to get a friend who is a native English speaker to help if English isn't hpyour first language.

I attached my draft coach can please someone check and give any corrections or changes. I am waiting for changes from you.

I am writing in response to your letter dated [insert date] regarding the incident that occurred on [insert date] at Gatwick Airport station. I wish to express my sincere apologies for my actions and provide an honest account of the situation.

On the day in question, I was traveling from Purley to Horley but mistakenly purchased a ticket only for the portion of the journey from Gatwick to Horley. This was an oversight on my part, and I deeply regret any inconvenience or disruption caused by my actions. I take full responsibility for this error and understand the importance of adhering to railway ticketing regulations.

As a full-time student, I am acutely aware of how this situation may impact my studies and future career. Since the incident, I have thoroughly familiarized myself with the rules and requirements surrounding train travel to ensure such a mistake does not happen again. I have taken this matter very seriously and have reflected on the importance of compliance and accountability.

I humbly request the opportunity to settle this matter out of court. I am fully prepared to pay any outstanding fare, penalties, or administrative costs incurred in resolving this issue amicably. I assure you that this was an isolated incident and is not reflective of my character or intentions.

Once again, I sincerely apologize for my actions and any inconvenience caused. I hope you will consider my request to resolve this matter without court proceedings. Thank you for your understanding and for taking the time to review my letter. Please let me know if there are any further steps I need to take. I hope I received positive outcome from you.thank you.

It’s too long, needs to be around half the length.

You say you mistakenly purchased a short ticket in the second paragraph, but from how you described the incident it sounds as though it was deliberate. So they will think you are lying in the letter. You need to be completely honest with them.

You say it was not reflective of your character or intentions. Think carefully whether either of those statements are true, and if not don’t say it.

Was it really an isolated incident? What will they find if they look (as they almost certainly will) at your online ticketing account? If you’ve done it before then don’t say it.

Do you really need to thoroughly familiarise yourself with the rules to know that it was wrong to buy a short ticket? Especially given what you are studying.

As Titfield said earlier, we need to see their letter please. Cover up your name, address and their reference number to keep this anonymous.

It's apologise, not apologize by the way.

This still reads as though you think cheating the railway is a trivial matter, frankly, raithere than one of dishonesty.
You also don't seem to be aware of the cost to the railway and taxpayer of fare evasion - inconvenience is hardly a proportionate term.
As a full-time student, I am particularly concerned about the potential implications this matter may have on my studies and future career.
They won't be interested, sorry - your problem not theirs. Delete!

Hope that helps. As already stated, an honest engagement with GTR almost always leads to a settlement.

Suggested amendment - they need to know that you know that it is at their discretion! Otherwise I think it's OK.

Hardly an "error" if you buy a ticket which covers no part of your journey and is in a different direction. Unless you mean a "serious error of judgement".

This incident has taught me to be more diligent...

To me being more diligent comes across as trying harder to buy the right ticket. "Taught me not to evade fares" is hopefully what you are trying to say.

Having said that, I think they will invariably offer a settlement.

Avoid expressions such as:
"honest explanation" as there is an expectation that explanations are always honest.
"now fully understand the importance of paying for my travel" as there is an expectation that you would know this from a much earlier age.

Also add their case reference, name and address to the printed sheet in case the two bits of paper get separated.

If you do not have a printer then write it very carefully making sure that it can be easily read.

Get a photo copy of it or take a photo of it on your smart phone.

Buy a new envelope and send it by "signed for" post at the post office.

Signed for means that the Train Company have to sign they received it. This is important as it is proof that you have replied to them within the time period required.

The post office will give you a receipt which shows a tracking number., You can use the tracking number on the internet to see when the train company received the letter.

Titfields's good advice at post #26 and #28 (posted as I wrote this) is what you should do. And you can do all this today now, if you get to the post office before about 3pm it will get sent today promptly and the railway company will have it very soon.

You can enclose the letter your received from the Railway company, and attach your written response, or you can handwrite it on the back of what they sent you if it has space for you to do this. If you attach anything make sure on the original letter they sent you, when you send it back, you write 'Please see attached response' written in the space for your answer. Make sure your attachment has your name, postal address, and their refence number clearly written on it because different bits of paper can get separated in their office and they may need to match it up. Make sure anything you handwrite is written as clearly and readable as possible. It is in your interests to make it easy and simple for the person who receives the letter to deal with it.

Then take a photograph of every page you are sending them (including the letter they sent you if you are sending it back with your reply) so that you have a copy in case you need to refer to it in future.

Then send it to the railway company's address from a post office with 'signed for' postage, as advised in post #26. Write their address on the envelope exactly as it is written on the letter they sent you (put your own address on the back of the envelope stating: 'sender: Mr xxxx, x street, y town, etc)

Keep your own copies of every page safe. You need to keep them long term, at least a year. Keep the receipt given to you at the post office along with the tracking code the post office will give you. You can do this at any post office, even a small local one near where you live.

I hope this is all clear - if not please ask further.
