If you post a copy of the letter you have received from the train company (with personal details covered up) along with a draft reply we will be happy to proof read it for you and suggest amendments.
the letter is a model. They are just asking to give my version of the story of the 'incident' that happened on that day before prosecuting me. nothing specific.
My draft:
I am writing to express my sincerest apologies for the incident that occurred on [date] regarding my failure to present a valid ticket during my journey on [route]. I am deeply remorseful for my actions and I fully understand the gravity of travelling without a ticket. I would like to take this opportunity to explain the circumstances and to offer my utmost cooperation in rectifying this matter.
First and foremost, I acknowledge my mistake and assure you that it was not intentional. Due to an oversight, I showed an expired ticket to the conductor during the journey, thinking it was valid. I regretfully admit that I forgot to purchase a valid ticket prior to boarding the train. I take full responsibility for these errors and understand the implications they have on both the train company and passengers.
I would also like to inform you that I have changed my address since the incident. Please address correspondence to the one overleaf.
I have always purchased tickets for my journeys and this is an isolated occurrence. I understand that travelling without a valid ticket is a serious offence and can result in legal consequences. However, I kindly request you to consider an alternative resolution in this matter.
I assure you that I am committed to resolving this issue promptly and to fully compensate the [train company] for any administrative costs incurred, as well as the fare price for the journey.
To demonstrate my sincerity, I am prepared to make an immediate payment to cover the administrative costs and the full fare price of the journey.
I value the services provided by your company, and it is not my intention to evade payment or cause any inconvenience. I sincerely apologise for any disruption or inconvenience my actions may have caused.
Once again, I deeply regret my actions and the inconvenience caused to the train company and fellow passengers.
